Contact address: Pentagon Pro Tech Film, Eton Hill Road, Radcliffe, Manchester, M26 2ZS.
Email: pentagonppf@outlook.com
Telephone: 0161 764 5000

2. Information we may collect

Depending on how you deal with us, we may collect your name, telephone number, email address, business details, vehicle registration, vehicle make/model/year, service requirements, preferred dates, photographs you upload, correspondence, quote and booking information, payment references and information needed to provide or administer the service.

If website analytics, security or consent tools are enabled, we may also receive technical information such as IP address, device/browser information and cookie or consent preferences.

3. Why we use your information

We use personal information to respond to enquiries, prepare quotes, assess vehicles and requested work, arrange and deliver services, communicate about bookings, manage payments, keep business records, handle complaints, protect our website and business, and comply with legal obligations.

Our legal basis will depend on the purpose. It will usually be that processing is necessary to take steps at your request before entering a contract, to perform a contract with you, to comply with a legal obligation, or for our legitimate interests in operating and protecting the business. Where consent is required, for example for certain marketing or non-essential cookies, we will ask for it separately.

4. Who we may share information with

We may use trusted suppliers that provide website hosting, form processing, email, file storage, security, IT support and business administration services. Website enquiries and uploaded photographs are sent through Brevo to our business email inbox, hosted by Microsoft Outlook. Our website developer, Duane Dobson, receives a copy of enquiries to support testing and website operation. Successful enquiries may also be entered manually into ClickUp for internal job and workflow management.

We may share information with professional advisers, insurers, payment providers, bodyshops, trade partners or public authorities where this is necessary for the service, required by law or needed to establish or defend legal rights.

We do not sell personal information.

5. International processing

Some technology suppliers may process information outside the UK. Where this happens, we will use suppliers and safeguards that meet applicable UK data-protection requirements. Our website uses 123 Reg hosting, Brevo for enquiry emails, Microsoft Outlook for our business inbox, Google Fonts for typography, and Behold to display our Instagram feed. Loading that feed connects your browser to Behold and its media providers.

6. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose it was collected, including to deal with enquiries, provide services, maintain warranty or job records, resolve disputes and meet tax, accounting or legal obligations. Retention periods vary depending on the type of record and whether an enquiry becomes a customer job.

7. Your rights

Depending on the circumstances, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction, portability, or to object to certain processing. Where we rely on consent, you can withdraw that consent at any time without affecting earlier lawful processing.

To exercise a privacy right, contact pentagonppf@outlook.com. We may need to verify your identity before responding.

8. Complaints

Please contact us first if you have a concern about how we use your information. You also have the right to complain to the UK Information Commissioner's Office (ICO) via ico.org.uk.

9. Marketing

We will not treat a quote or booking enquiry as consent to unrelated electronic marketing. If we introduce marketing emails or messages, any consent request will be separate and optional, and you will be able to opt out.

10. Changes to this notice

We may update this privacy notice when our services, suppliers or legal obligations change. The date at the top shows when it was last updated.
